Position Description: Position Overview:
The Operations Chart Coordinator is responsible for managing and tracking donor charts throughout the processing lifecycle, ensuring compliance with regulatory and internal quality standards. This role supports Operations, Quality, and Logistics by coordinating documentation, chart release timelines, and communication between departments to optimize efficiency in processing, sterilization, and final labeling.
Key Responsibilities:
Chart Coordination & Management:
\tTrack and manage donor chart flow from processing through final labeling and release.
\tEnsure all required Operations documentation (testing results, processing/packaging records, biohazard records, and sterilization documents) is complete and compliant with internal and regulatory requirements.
\tMaintain up-to-date records of pending, in-process, and completed charts.
Cross Department Coordination:
\tWork closely with Operations, Quality, and Logistics teams to prioritize chart reviews, chart verifications and error corrections for consistent chart flow.
\tCoordinate with Quality to ensure donor charts are complete and ready for next steps.
\tCommunicate chart status updates to ensure efficient chart flow for release.
Documentation & Compliance:
\tEnsure charts contain all necessary approvals before submission for labeling and packaging.
\tPerform department reviews as needed
\tSupport audit preparations by ensuring proper documentation and adherence to regulatory standards (GMP, ISO, AATB).
Process Optimization & Reporting:
\tIdentify bottlenecks in chart flow within Operations and propose process improvements.
\tGenerate reports on chart status, turnaround times, and pending error corrections.
\tUpload Operations data into ERP systems
\tCollaborate with leadership to improve workflows for efficiency and compliance.
Qualifications:
\tExperience in tissue banking, medical records coordination, or regulated manufacturing environments preferred.
\tStrong organizational and documentation skills with attention to detail.
\tAbility to multitask and coordinate across multiple teams.
\tFamiliarity with AATB regulations is a plus.
\tProficiency in Microsoft Office (Excel, Word) and database management.
